Welcome to Elsa K Events. These Terms and Conditions (“Terms”) govern your use of our website and the services we provide, including event planning and coordination, tablescape styling, luxury picnics, and tea party styling (collectively, “Services”). By accessing our website or engaging our Services, you agree to be bound by these Terms.
1. Scope of Services
Elsa K Events provides professional event planning and coordination, tablescape styling, luxury picnic setups, and tea party styling. The specific details of each Service, including inclusions, exclusions, and fees, will be outlined in a written agreement or invoice at the time of booking.
2. Booking & Payment
All events require a Booking Request Form to be submitted through our website.
Upon approval, a non-refundable 50% booking deposit is due immediately to reserve your date.
The remaining 50% balance is due no later than 7 days prior to your event.
A $100 refundable damage deposit is also required. This will be returned within 5 business days post-event, assuming no damage, loss, or excessive cleaning is needed.
Failure to complete final payment by the deadline will result in cancellation without refund.
Payments are accepted via credit or debit cards.
A standard 3% payment processing fee will apply to all events at the time of booking to cover credit card processing costs.
Services will not be provided until payment terms are met in full.
3. Cancellations and Rescheduling
All cancellations must be submitted in writing. Retainers are non-refundable.
If cancellation occurs after the final balance is paid, refunds (if any) will be determined at the discretion of Elsa K Events, based on time, expenses, and services already rendered.
Rescheduling is subject to availability and may incur additional fees.
4. Location Requirements & Travel Policy
We operate within a 15-mile radius of Portland, OR. A travel fee of $1.50 per mile (roundtrip) will apply for any event located beyond 15 miles, with a maximum travel distance of 30 miles.
Event location must be within 40 yards of vehicle access to allow safe and efficient setup.
All events must be fully packed up before sunset, unless held at a private venue with sufficient lighting to allow safe breakdown.
5. Client Responsibilities
Client must provide accurate event information, timely communication, and secure venue access.
Client is responsible for guest conduct during events and for any damage to styled or rented items.
For outdoor events, Client acknowledges that weather conditions are beyond the control of Elsa K Events and may affect setup or overall experience.
6. Rentals and Styled Items
All rentals and styled items (including tableware, linens, décor, furniture, and props) remain the property of Elsa K Events or its vendors.
Client is responsible for loss, theft, or damage beyond normal wear and tear. Replacement or repair fees may apply.
7. Vendor Coordination
Elsa K Events may coordinate with third-party vendors on behalf of the Client but is not responsible for the performance, reliability, or actions of independent vendors.
Client remains responsible for reviewing vendor contracts and complying with vendor requirements, including providing meals for vendors when applicable.
8. Liability and Indemnification
Elsa K Events shall not be held liable for accidents, injuries, illnesses, venue-related issues, weather disruptions, or any other circumstances beyond our reasonable control.
Client agrees to indemnify and hold Elsa K Events harmless from any claims, damages, or expenses arising from or related to the event.
9. Photography and Marketing
Elsa K Events reserves the right to capture and use photographs of styled events for promotional purposes, unless otherwise agreed upon in writing.
Client grants permission for the use of such images on our website, social media platforms, and other marketing materials.
10. Force Majeure
Elsa K Events shall not be liable for delays or failure to perform resulting from circumstances beyond reasonable control, including but not limited to natural disasters, acts of God, strikes, pandemics, or government restrictions.
11. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the State of Oregon, without regard to its conflict of law principles.
12. Amendments
Elsa K Events reserves the right to update or amend these Terms at any time. The most current version will be posted on our website, and continued use of our Services constitutes acceptance of any changes.
By booking our Services or using our website, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
